Project Overview
Current Situation
The pandemic has changed people's lives, including how people work. A new way of working happened in lives, remote/hybrid. However, teams aren't managed to their highest potential through remote working challenges. Atlassian wants to create something unique to provide better and more efficient remote/ hybrid working environments.
Challenges
-
Discover pain points that people have in hybrid/ remote working environments.
-
Propose a solution that can solve the remote/hybrid working problems.

Background Research and Pain Points
To understand why teams aren't managed to their highest potential through remote working. We first did literature research and found two key pain points users have in their remote working experiences.
1: Difficulty in maintaining a work-life balance.
2: Hard to build up trust and relationships in the team in a hybrid/remote environment.
35 Questionnaires
According to the pain points in the literature research, we conducted questionnaires to understand our potential users' issues deeply. (35 participants) After getting the results, we summarised those into two reasons that caused the problems. 1: Easily work overtime. 2: 75% of participants would like their manager to understand their work tasks better.
Quotes
"disrupted by the manager because he is unaware that I am working on a task."
"never-ending priority tasks from manager..."
"assign the tasks more efficiently."
"transparent work arrangement and frequent offline catchups"
"please don't send me messages after 7 pm unless it's an emergency."
User Needs
Based on users' pain points, there are mainly three user needs that should focus on when designing the product.
1: Be notified when the work day has ended so the team doesn't work overtime.
2: Build stronger relationships within the team so they can be more vulnerable with / trust each other.
3: Have a more straightforward assignment of daily tasks, so the team will know what each person is working on and won't be overloaded with tasks.
Persona
Consequently, with the insights discovered during the empathising phase, we develop our two personas: Aria and Harley. The common goal for them is to complete assigned tasks on time. And Harley also wants to build strong relationships with his team.

Design Matrices
We produced design matrices on the possible concepts based on our user issues and needs. A set of criteria was mapped against the three ideas that scored each concept - the final concept with the most points was selected.
Final Concept
We chose this concept because it fulfils our defined user needs the most.
We built a sense of involvement and assisted work-life balance in a hybrid environment.
In addition, it's unique and playful, allowing users to unplug from work at the end of the day.
-
An app that encourages team members to clock off on time.
-
Allow the team to achieve work-life balance while working effectively and enhance the trust between team members, including managers.
Design and User Test
With the main functions defined, we started mapping out the user flow and the first iteration of the prototype. To design the best user experience, we conducted a Think Aloud Test that helped us find some usability issues in the first iteration.
User Flow
First Iteration and Test
Key Findings
1: Participants mistouched when pressing the "close" button when they viewed a particular avatar.
2: Participants were unsure if they were "clocked off", as there was no user feedback.
Changes
1: Improved system's "error prevention."
2: Improved "visibility of system status."
Final Solution
Unplug together - Work as a team - Free from distractions
Turn off the virtual office light at the end of the day.
“Dropbox” for after-work hour messages.
Vote for team activities.
Change your current status.
Let your team know your critical tasks of the day.

Next Step
1: More user testing to further refine our prototype
-
Internally test our design against the Ten Usability Heuristics
-
Internally test our design with WCAG accessibility guidelines
2: User testing with managers to get their perspective on the solution
3: Special onboarding features for new employees
4: Create an Admin version of the App so someone (the admin) can create polls
What I Learned
Collaboration
How to better play my role and strengths in a team project and effectively communicate in the team.
I continuously shared my creative ideas and why we could do this way with my team after we defined user needs.
Be Productive
We only had three days on this design challenge, so we made a detailed agenda at the beginning and agreed to perform every task on time. It's essential to finish individual parts on time; otherwise, the whole rhythm will be upset.
